After integrating MYOB to Innovo Invoice, the following configurations need to be carried out.
- Accounting Setup
- General Settings
To access these configurations in the Innovo Invoice web application, click on the Settings tab. In the Settings page, the General Settings, Import MYOB Data and Accounting setup tabs will be visible.
Importing MYOB Data
Before proceeding on to performing accounting setup, Vendor data, Accounting data and Tax Codes from MYOB need to be uploaded to Innovo Invoice.
Files containing this information can be downloaded from MYOB.
To upload the data into Innovo Invoice click on the Import MYOB Data tab. In the tab you'll be able to select the appropriate MYOB data files for Accounts, Tax Codes and Vendors. Clicking on the respective load links will automatically load MYOB data into Innovo Invoice.
Accounting Setup drives the bookings that Innovo Invoice will generate for MYOB.
There are 3 configurable features found within the Accounting Setup.
These are the accounts to which invoice line items will be allocated to when being booked into MYOB.
Clicking on the Show Unused Accounts will display all the accounts uploaded from MYOB for selection. You can proceed to select all the relevant accounts into which you will book your various invoices.
Selecting the check boxes corresponding to the required accounts will make them visible in the invoice verification page for selection. More details relating to invoice verification can be found in the article Verifying Invoices.
2. Tax Codes
These are the applicable tax codes that will be applied to the line items in the invoices which are processed.
Clicking on the Show Unused Tax Codes will display all the tax codes uploaded from MYOB for selection. You can proceed to select all the relevant tax codes which would be applicable.
Selecting the check boxes corresponding to the applicable tax codes will make them visible in the invoice verification page for selection.
A list of vendors can be allocated to the invoices being processed through Innovo Invoice.
Clicking on the Show Unused Vendors will display all vendors uploaded from MYOB for selection.
Selecting the check boxes corresponding to the required vendor will make them visible in the invoice verification page. Besides selecting the vendors, default accounts can also be assigned to vendors. This will reduce the need to manually select the accounts in the verification page for each invoice transaction.
When the vendor is extracted from the invoice, the corresponding account will be used for the booking of line items.
In General Setting you'll be able to configure the usage preference and set default values that will minimize the need to modify each invoice transaction during verification.
The following are the settings that can be configured on the General Settings page:
Integration: The integration field (grayed-out) will show the integration option that has been selected. To disconnect from the selected integration, click on the Remove link.
Mail ID: Invoices can be sent directly to the email address found in Mail ID for processing by Innovo Invoice.
Default Vendor: The default vendor is allocated to the MYOB Contact when an invoice from a new vendor who is yet to be set up in MYOB is processed.
Default Account: The default account will be attributed to the line items in the invoice for booking into MYOB. If a default account is allocated to a vendor in the Accounting Setup page, that input will take precedence.
Default Tax Code: The default tax code can be selected from the list of tax codes that were selected as part of the Accounting Setup. This default tax code will be applied to line items where tax is applicable. (e.g. 7% GST for all line items that are taxable).
Zero Tax Code: The zero tax code can be selected from the list of tax codes that were selected as part of the Accounting Setup. This default code will be applied when line items are not taxable.
